Organize where information lives without copying it all into another service. Begin with locations and access instructions rather than sensitive records.

THE SHORT VERSION

A map can be enough. Know where the original lives, how to access it, and how to export it.

Map the sources

List the services you use and what you expect to find in each. Use broad categories such as appointment documents, wearable logs, or notes. Keep passwords and medical records out of the index.

Record how to leave

Find each source’s current export instructions. Record the format, request process, and stated time limits. Test with nonsensitive sample information where possible.

Name exports consistently

If you keep exports, try a date-source-category naming scheme. Keep the original format alongside any summary. Choose storage with access controls appropriate to your information.

Review connected services

List sharing permissions and check them in the original app. Removing a shortcut may be separate from revoking access. Revisit the index when you add, replace, or stop using a service.

A useful next step

A map can be enough. Know where the original lives, how to access it, and how to export it.
